CANCELLATION Policy Overview/ Missed session overview

This policy outlines the cancellation procedure for clients of Lab243. We value our clients' commitment to their fitness journey and aim to provide transparent guidelines for cancellations.

Cancellation Notice Requirements:

  1. 30-day Notice: Clients who wish to cancel their personal training services with Lab243 must provide a written notice at least 30 days in advance of their desired cancellation date. This notice should be submitted through email to pat@lab243.com

  2. Reason for Cancellation: Clients are encouraged to include their reason for cancellation in the notice. While not mandatory, your feedback is valuable to us in our continuous efforts to improve our services.

Cancellation Process:

  1. Submission of Cancellation Notice: Clients must send an email or text to pat@lab243.com or 585.490.2732 with the subject line "Cancellation Request - ." In the body of the email, please include the following information:

    • Full Name

    • Contact Information

    • Reason for Cancellation

    • Desired Cancellation Date (must be at least 30 days from the date of the email)

  2. Confirmation: Upon receiving the cancellation notice, a representative from Lab243 will confirm receipt within two business days.

  3. Final Session: Clients are entitled to participate in any remaining training sessions during the 30-day notice period. No refunds will be provided for unused sessions.

Billing and Payments:

During the 30-day notice period, clients are still responsible for any outstanding or upcoming payments within that 30-day window due for their training services. Payments will be processed as scheduled until the cancellation takes effect.

Exceptions:

In exceptional cases, such as medical emergencies or relocation to a location where our services are not available, clients may request an expedited cancellation. These requests will be evaluated on a case-by-case basis, and the 30-day notice period may be waived.

By choosing to enroll in personal training services with Lab243, clients agree to adhere to this cancellation policy.

Personal Training Payment, missed sesion & Scheduling Policy

1. Monthly Payment & Reserved Scheduling

At Lab243, we operate on a schedule-based coaching model, meaning your monthly payment secures your dedicated training slots in our calendar. This ensures that your sessions are booked and that we remain fully committed to your progress.

  • For example clients pay a flat rate of $500 per month, which covers up to 10 sessions per month.

  • Your payment reserves specific time slots, ensuring consistency in your training schedule.

  • Missed sessions are non-refundable, but clients are encouraged to make them up within the same month when availability allows.

This policy is in place because when we reserve a time slot for you, it prevents us from booking another client during that time. Just like a gym membership or a class-based training system, you are paying for the time commitment and access to our services, not just attendance.

2. Missed Sessions & Make-Up Policy

We understand that schedules can change, and we do our best to accommodate our clients. However, because we operate on a structured schedule, we do not offer refunds or carryover sessions for missed appointments.

  • If you know you will miss a session, we encourage you to reschedule within the same month, pending availability.

  • Make-up sessions are not guaranteed, but we will do our best to fit you into an open time slot.

3. Trainer Unavailability & Payment Pauses

We believe in fairness on both sides. If your trainer is unavailable for an extended period (e.g., travel, emergency, or planned time off), your monthly payment will be paused for the duration of that absence.

For example:

  • If your trainer is unavailable for two weeks, your next billing cycle will be adjusted accordingly.

  • Payments will resume once training availability returns, ensuring you are never charged for time when coaching is not available.

4. Commitment & Business Model Transparency

By signing up for our coaching, you acknowledge that:

  • Your payment secures your training time and our availability, rather than paying per session attended.

  • Scheduling is structured to ensure consistency and accountability, both for the client and the coach.

  • This policy allows us to provide high-quality coaching without last-minute scheduling gaps, ensuring fairness for all clients.
